Use this playbook to accept a Seasonal Kit return, keep physical inventory separate from responsibility, and confirm automatic closure and traceability.
Before you start
- Act as
- An authorized Operations user with access to guide gear
- Guide
- A guide with a Seasonal Kit currently checked out
- Starting state
- The checked-out kit has multiple items and at least one item you can treat as damaged or missing
- Physical reality
- The returned gear is present so Operations can compare it with the assignment
Run the scenario
- 1OperationsTrailhead Management · Guide profile · Gear
Open Seasonal Kit and select Return kit.
Expected evidence
A dedicated return page opens for the exact assignment, with a compact two-column item grid and no return modal.
- 2OperationsTrailhead Management · Seasonal Kit return
Leave clean items as Returned, then expand one exception and mark its affected quantity as Damaged or Missing.
Expected evidence
Clean rows stay collapsed, the exception opens by default in a separate Issues section, and inventory seed metadata is not shown as product copy.
- 3OperationsTrailhead Management · Seasonal Kit return
Select Accept return after comparing the outcomes with the physical gear.
Expected evidence
Usable items return to Fishing inventory, no charge is created, and the receipt states that separate follow-up is required. If every item stays Returned, the assignment closes immediately instead.
- 4OperationsTrailhead Management · Guide profile · Gear · Season-close issues
Resolve the open issue as operations responsibility for this playbook.
Expected evidence
The issue closes without a guide charge and the assignment reconciles automatically when no other follow-up remains.
- 5OperationsTrailhead Management · Guide profile · Gear · Return history
Open the closed return receipt from Return history.
Expected evidence
The return is Closed, the recorded outcomes remain traceable, and there is no second manual Reconcile action.
Scenario completed
The assignment is reconciled and its closed receipt remains in Return history.
- Item outcome
- Expected back→Returned, damaged, or missing
- Usable inventory
- In guide custody→Available in Fishing inventory
- Issue responsibility
- Open→Explicitly resolved
- Assignment status
- Physical return accepted→Reconciled with receipt
If it does not match
- If Return kit does not open the dedicated page, refresh the guide Gear profile and confirm that the assignment is still Checked out.
- If a returned item does not become available, confirm that its outcome is Returned and that its tracked stock belongs to the shared Fishing inventory.
- If the assignment remains open after resolving one issue, look for another unresolved Season-close issue; closure is automatic only after the last follow-up.
- If Accounts shows a charge immediately after physical return, stop: physical condition alone must never create a financial movement.
