Weekly Meals

Prepare, review, confirm, and acknowledge the lodge's weekly meal counts from trusted trip information.

Weekly Meals turns confirmed CIS stays and passenger counts into an operational meal brief for each lodge. Open it from Operations → Prepare → Weekly meals.

The brief keeps the calculated client baseline separate from staff additions, warnings, confirmation, and lodge acknowledgement. It is a count-planning flow—not a menu, inventory, or dietary-management tool.

What the brief contains

Each day shows four meal categories:

  • Breakfast
  • Coolers
  • Bag lunch
  • Drinks + dinner

The selected lodge determines the week boundary:

LodgeOperational week
EELFriday through Thursday
BTBCSaturday through Friday

Follow the flow

  1. Choose the lodge and operational week.
  2. Trailhead calculates the client baseline from the relevant CIS stays and passengers.
  3. Review the calculation time, source context, and any unknown or conflicting information.
  4. Add guides, assistants, drivers, or other people explicitly. Staff adjustments never overwrite the client baseline.
  5. An authorized reviewer confirms the brief only when no blocking warning remains.
  6. The lodge manager sees the confirmed version as read-only and acknowledges it.
  7. If the counts change later, Trailhead creates another version so the confirmed history remains visible.

An unknown or conflicting value is never treated as zero. A blocked brief cannot be confirmed.

Who can do what

ParticipantResponsibility
TrailheadCalculates the deterministic client baseline and shows its source context.
Mari or another authorized reviewerReviews warnings, records explicit additions, and confirms the brief.
Lodge managerReads and acknowledges the confirmed version; the manager does not edit it.
Trailhead AssistantCan prepare a read-only summary and take the user to Weekly Meals; it cannot invent counts, change them, or confirm them.

The Assistant quick action Prepare weekly meal brief is a shortcut to the same trusted flow, not a separate calculation.

Live and Mock modes

Use Live for authorized operational data. Use Mock to demonstrate and rehearse the complete flow without reading or writing production data. The selected mode must always remain visible.

Keep the boundary clear

Weekly Meals plans counts only. It does not manage menus, recipes, ingredients, stock, or purchasing. The brief also excludes dietary and medical details; those remain in their authorized source context.

The client baseline depends on trusted CIS passenger information. Return to Operations to see how the brief fits the broader operating view.
