The trip is over and every checked-out item comes back. Only the physical return makes that gear available to the next group.

The situation

Daily client gear was checked out for a CIS or trip and has physically returned without a discrepancy. The guide submits the return, then Inventory reconciles every custody unit as returned usable before availability is restored and the trip's gear blocker can clear.

What starts it

The guide starts the CIS gear return or operations receives the physical gear.

How it unfolds

GuideOperationsInventory
  1. 1

The guide opens the CIS gear return

    Guide

The request begins from the same trip context that holds the checkout and custody record.

  2. 2

The guide submits all checked-out gear for return review

    Guide

Submitting the return changes custody to pending review; it does not restore stock by itself.

  3. 3

Inventory allocates every reviewed unit to Returned usable

    Inventory

This is the key moment: the reviewed quantities must equal the issued quantities, and Inventory confirms every unit is physically back and usable.

  4. 4

Inventory restores availability for returned-usable gear exactly once

    Inventory

The custody units close as returned to inventory and retries cannot restore the same unit twice.

  5. 5

The trip's gear return blocker clears

    Operations

Operations can see that daily gear no longer prevents this CIS or trip from closing cleanly.

Who's involved

Guide

Starts the return from the CIS and confirms which checked-out items came back.

Operations

Receives or reviews the return and sees whether trip closure still has a gear blocker.

Inventory

Restores availability only after the physical items are known to be back.

What each person sees

Guide

The items and quantities expected back for the selected CIS.

Why: Complete the trip's gear task against a clear physical checklist.

Operations

A completed return and no remaining daily gear blocker for the trip.

Why: Know the trip can close without unresolved gear work.

Inventory

Returned-usable stock available again to the company-wide inventory.

Why: Offer the gear to another trip only after it is physically back.

The rule to remember

Inventory availability changes when the physical gear is known to be back, not merely because the trip ended.
