Execute the Program

Run the timeline and evidence required by the selected Program variant.

Open the Active Program from Calendar. The timeline keeps every field event attached to the correct CIS, clients, Beat, access, and ready plan. Mark what actually happened; use Issue when reality differs from the planned step.

The detailed fishing timeline below applies only to variants that include Fishing. Do not expect or complete its Beat, access, catch, or report steps on non-fishing and POA Programs.

Understand the Fishing timeline

The normal sequence is:

  1. Pick up passengers β€” Confirm that the assigned clients are in the guide's custody.
  2. Pick up gear β€” Confirm the trip equipment before departure.
  3. Enter access β€” Record entry through the access attached to the Program.
  4. At beat β€” Shows the active fishing window; it advances from the surrounding access events rather than a separate completion action.
  5. Leave access β€” Record the real exit and any required access-owner payment.
  6. Return gear β€” Confirm the trip-gear return stage.
  7. Fishing report β€” Create, update, or review the report tied to this Program.
  8. Back at lodge β€” Finish the Program only after the Fishing Report has been submitted.

Select the current step and use Done only after the event occurs. Completed steps retain their recorded time. Upcoming steps remain unavailable until the timeline reaches them.

Report a change or issue

Use Issue on the affected timeline step when the event cannot be completed as planned. Record the operational reason against that step instead of hiding the change in a general note or skipping forward. Reopen the Program afterward and confirm which step remains active.

An issue report adds context; it does not automatically change the CIS, access rule, inventory custody, or ready Program. Escalate to Operations when one of those source records must change.

Start and monitor GPS

GPS controls appear only when the profile has permission to write field location.

  1. Confirm foreground and background location access in Settings before departure.
  2. Select Start GPS when the field day begins.
  3. Wait for GPS live or the message that Trailhead is waiting for a precise location fix.
  4. Keep the app available when background location is not granted or supported; capture can pause after locking the phone or leaving the app.
  5. At the beat, GPS can pause to save battery and resume after leaving the access.
  6. Watch for sync warnings during weak connectivity.
  7. Select Stop GPS only when capture should end. Finishing the Program also attempts to stop the active GPS session.

A queued point is not confirmed server evidence

Do not sign out, clear app data, or change accounts while GPS points remain offline. Wait for connectivity and confirm that the warning clears.

Confirm paid-at-access activity

When a timeline step says that payment is required at an access, pay the access owner personally through the agreed method, then select Paid + done. Trailhead records the access, direction, amount, currency, payment time, and cash payment method with the same timeline update.

Confirm the displayed requirement before submitting. Paid + done creates a personal expense in Guide Account and a reimbursement obligation for Finance. If the amount, currency, access, or payer is wrong, stop and contact Operations instead of recording a compensating payment.

Create and submit the Fishing Report

Open Fishing report from the timeline. Create it from the Program so trip, date, beat, and guide context remain traceable.

You can enter the report directly or record a voice draft. For a voice draft, describe catches, flies, timing, water, weather, access, and anything that affected the day. Select Fill Report, then review every generated field; transcription assists entry but does not submit or verify the report.

Before sending:

  1. Add every catch with the correct species, quantity, size, time, role, fly, notes, and photo where available.
  2. Review water conditions, temperature, pH, weather, access condition, day quality, and repeat recommendation.
  3. Remove accidental, speculative, or sensitive commentary that does not belong in shared operational evidence.
  4. Select Save to keep a draft or Save and Send to submit the completed report.
  5. Return to the timeline and confirm that the Fishing Report step shows the correct state.

A draft can be updated. A submitted report becomes shared evidence and satisfies the report requirement for Program closure.

Finish the Program

The final return or outcome step exposes Finish program. Fishing variants require a submitted Fishing Report. IN only, OUT only, POA, Transition, and Transition + POA close after their own required timeline without one.

  1. Confirm that passengers, access exit, trip gear, and the Fishing Report reflect the real day.
  2. Resolve or escalate any open issue.
  3. Select Finish program once.
  4. Wait for the Program complete confirmation.
  5. Confirm any guide payment registered to the Guide account.
  6. Return to Calendar and verify that the Program is no longer active.
  7. Open trip gear or the Guide account when follow-through remains.

Completion closes active execution and stops GPS when possible. It does not reconcile inventory, correct the CIS, or replace account review.
